Enquiries and visits
If you contact the Lodge, we may receive your name, email address, Lodge details and the information in your message. We use it to reply, arrange visits, answer questions and manage joining enquiries.
Alphabeteer feedback
If you complete the feedback form, we receive the answers you submit and any contact details you choose to provide. We use this information to evaluate and improve the Bedic Pilot Edition.
Journal orders
If you order a journal, we may receive your name, contact details, delivery address, quantity ordered and confirmation of payment. We use this information to process, post or arrange collection of your order.
Website content
Names, photographs, biographies and event information may be published where appropriate. We take reasonable care to use this material respectfully and with suitable permission or another valid reason.
How we use information
Only for a clear purpose.
Depending on the circumstances, we use personal information because:
- it is needed to respond to a request or provide something you have ordered;
- it supports the Lodge’s legitimate administration, communications and website security;
- you have given permission for a particular use; or
- we must keep or disclose information to meet a legal obligation.
We do not sell personal information.
Who may receive it?
Shared only when needed.
Information may be accessed by the Lodge Secretary, relevant Lodge officers and authorised members who need it to deal with an enquiry, visit, order or Lodge activity.
We also use service providers including our website and email providers, Google Forms and Google Sheets for Alphabeteer feedback, and PayPal for journal payments. A postal or delivery provider may receive the details needed to deliver an order.
PayPal processes payment information under its own privacy terms. Bedic Lodge does not receive your full card or bank details.
Some providers may process information outside the United Kingdom. Where this occurs, the provider is responsible for using the safeguards required by data-protection law.
How long is it kept?
No longer than necessary.
We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected, to maintain appropriate Lodge records, or to meet accounting and legal requirements.
Enquiries and feedback are reviewed periodically. Order records may be retained for accounting and administrative purposes. Published website material may remain available until it becomes outdated, is replaced or there is a valid reason to remove it.
Your rights
You remain in control.
Depending on the circumstances, you may ask us to:
- provide a copy of your personal information;
- correct information that is inaccurate;
- delete or restrict the use of information;
- stop using information where you have a right to object; or
- withdraw permission where our use depends on consent.
